| Editor's Journal - 4 TIPS to BETTER E-MAILS |
| |
Does that perfectly written e-mail still elude you? You
don't get a second chance after you hit the send button
so read the following tips to write better, more
professional e-mails.
Misspellings - Don't just depend on your
spellchecker to catch all your misspellings.
Spellcheckers will not recognize misused words such
as there and their or its and
it's. Always reread your
emails before you hit the send button. If you have
written a long email you may want to print it and then
edit the content. Studies have shown that it is much
easier to proofread a printed copy than it is on the
screen.
Complaining - It is unprofessional to
complain in business related e-mails. Resist the
urge
to point out "Jim isn't pulling his weight in the project".
These kinds of statements, true or not, can come back
to haunt you later.
Using humor - Jokes of any nature has no
place in business e-mails. What may seem hilarious
to you may be offensive to others. Even though you
may think you know the recipient there may be
something suggestive in your prose that could be
offensive in some way. Be safe and stay away from
humor in your business e-mails.
Poor grammar - Nothing turns off a reader
more than using poor grammar. You will leave a
negative impression on a potential business client or
associate if you use bad grammar in your e-mail. If
your e-mail client doesn't have a grammar-check utility
then write the body of your e-mail in your Word
program and then copy and paste the corrected
document into your e-mail for sending. If you're
hopeless at correct grammar consider using one of
the several fine business-writing books on the market
or take a remedial writing class.
Here are 4 More Bonus TIPS!
- Be Precise - Say exactly what you mean.
Don't beat
around the bush.
- Be Accurate - Don't exaggerate or
overestimate,
know your facts.
- Be Concise - Get to the point. Don't bury
the point
of your e-mail at the bottom of your content.
- Be Professional - You never get a second
chance
at a first impression! Make the right impression the
first time.
